4/8/2010

Board members present: Tammara Sanchez, Al Henning, Karen Zenner, Iva Lewis, Barb Walker, Mary Dennis, Sharon Case, Sarah Sullivan, Dana Cederquist, Wayne Strang, Sonya Youker, Daryl Case (7:15p.m.)
Board Members absent: Dan Hubbell (excused), Bobe McPherson (excused), Pam Leach (unknown)

Approval of Agenda- Motion 4.8.10.1 by Barb, seconded by Wayne to approve agenda with additions. Carried
Approval of Minutes- Motion 4.8.10.2 by Karen, seconded by Al to approve from 3/11/10. Carried. The lost radio signs were found in moving stuff from fax room.
Correspondence- E-mail from Society for Creative Anachronism inquiring about grounds rental, paper work from OSHA from Dan Hubbell approving settlement, notice from EJ Brown regarding Ken Bell’s resignation, Spring Zone 5 meeting Agenda for 4/17/10 in Alpena
President’s report- written report from Dana reporting on high voltage electrical outage and thanking Cherryland Electric. He also asked for support as we work towards a common goal.
Treasurer’s Report- Iva provided Check register from 3/12 though 3/8/10, and accounting balances: All at Traverse City State Bank- General checking $20,437.67, Premium checking $1,259.46, Savings $158,072.51, Commercial Loan balance $426,268.37. Commercial loan payment of $12,927.18 due 7/16/10. Iva stated that she will pass along to Bobe the lists board members turned in as contacts for support/donations. Motion 4.8.10.3 by Daryl, seconded by Karen to approve treasurers report. Carried.
Public Comment
1. Vic McCarthy presented from his business MacMedia on developing an advertising video on marketing
2. Dave Harrier a vendor wanting to gain approval for handing out samples of healthy energy drinks, in the Fitch/ LaCross building during fair. Okay as long as sealed.
New Business
- Iva has a book on regulations for new hires (both state and federal).
- Wayne has had contact from the photographer from last year who was here all week during fair. He had a blank contract which stated she would like $500.00, a golf cart, and a campsite with electricity. Discussion. Motion 4.8.10.4 by Daryl seconded by Iva to approve requests. Wayne will get a completed contract.
4-H Livestock
- Darrell R./Angie W. reported that Amy Koronka would like permission to put benches by the duck pond, and that there will be a work bee Tues 4/15 from 6-9p.m. Okay on benches.
Old Business
- Iva requesting who is interested in name tags with magnetic backs for $4.25 ea. If interested see Iva.
- Sharon- reported already shared earlier on her efforts on obtaining a tractor. Good job Sharon.
Committee Reports (only those committees with reports are listed)
- Advertising- Barb inquired if Bobe is still doing advertising. Iva reported that with support Bobe is still doing it, a little bit at a time. Iva reported that Face Book has 900 fans and they will be doing contests. Bobe needs a list of times and events from Wayne for the Grand Stand events. Bobe would like to give Denise Ferenbach a basket and a cookbook for her Babs work from last year. Iva wondered if anyone had talked to Jim Briethaupt about his son’s farm going green. On the 17th Milt and Iva going to the spring zone meeting need someone to help Mary with storage 11a-2p. Tammara volunteered Jess and Karen volunteered to help.
- Building and Grounds- Wayne has been in contact with Northern Fire and Safety regarding fire extinguishers. Ted McManus requested permission to add 4 additional electrical outlets to the Draft Horse barn. Okayed. The draft horse barn would like 10 gallons of white paint. Dana will be getting samples for the water quality testing and submitting them. BMX folks would like to put up a small storage shed.
- Campgrounds- Kay and Henry are supposed to return by the end of May. Iva will be collecting money for stalls from horse shows.
- Concessions. Dana reported getting calls. Tammara reported she has 11 vendors for Fitch/LaCross building.
- Entertainment- Wayne reported that he has 2 contracts from 2 different companies for moto-cross. The first company wants $12,500.00 plus hotel and insurance for a total of
$15,000. The second company will provide 7-8 riders on Mon. and Tues. in a 90 minute shows, will bring their own ramps and has their own insurance. They are out of Fla. And are called Bogeyman Brigade. Their price is$14,000.00 and they require $7,000.00 down.
Motion 4.8.10.5 by Iva, seconded by Sonya to contract with Bogeyman Brigade. Carried.
Wayne reported that he has a contract from Sound Environments on sound equipment for the grand stands for $1800.00. Motion 4.8.10.6 by Karen seconded by Wayne to approve contract with Sound Environments. Carried. Wayne will check on a cordless mic.
- Fundraising/Sponsorship and Grants- Al reported that Shannon is working on projects.
- Labor- Karen reported that job descriptions (secretary and data processing) are being created. Meeting was held to establish descriptions. She would like Courtney to
begin in May putting in the data processing, and Renee to start in June as secretary. They will have staggered hours to provide better office coverage.
- Museum/Historical- Iva reported that Brent has labeled his donations. Iva reported that
Bobe heard back from Shirley, Shirley feels her family owns the museum contents. Discussion on the various people who have donated. Melissa said her parents have donated, Wayne Bancroft donated, Karen Rosa donated. Suggestion the Dan Hubbell be informed. Motion 4.8.10.7 by Barb, seconded by Tammara to change the locks on the museum as soon as possible. Carried.
- Pancake Breakfast- Still limited to no information available on where and what we used last year. It was reported that Culligan donated water but was it bottled or was it used for batter? Tammara volunteered to check on getting 30cases of water donated.
- Parking- Karen with the support of Wayne and Al strongly encouraged that we have people parking cars in the parking lot based on previous year’s experiences. Sonya said she has a plan.
- Premium Book- Barb reported that Pam said it was going to print at the end of April.
- Queens- Sarah reported she ran into the Queen Brittany and Brittany has not talked to anyone and does not know what is going on. Karen will/did call Pam. Karen reported that Pam will call Clarissa.
- Tickets and Passes- Mary reported she may or may not give a report. Mary reported feeling overrun at last meeting and that people need to learn how to conduct themselves.
Karen expressed concern at having registration before and after the Sat. evening meeting.
Discussion.
- Veterans Memorial- Al reported that he is meeting with Karen Alma to set up details on where to have meet the politicians. He is considering the Tanner Building.
