President Edgecomb called meeting to order at 7:04p
The Pledge of Allegiance was led by Karen Zenner
Roll Call was conducted by Barb Walker
Board members Present; Brent Edgecomb, Al Henning, Karen Zenner, Iva Lewis, Barb Walker, Mary Dennis, Sharon Case, Sarah Sullivan, Dana Cederquist, Wayne Strang, Gordie Wilder, Pam Leach, Bobe McPherson
Board Members absent and excused :Dan Hubbell, and Daryl Case
Visitors Present; Sonya Youker, Milt Lewis, Julia Deemer, Nancy Wieland, Ted McManus, Rachel Makowski, Cindy Melving, Stephanie Tourkakis, Rudy Neumann, Tom Robinson, Barb Edgecomb
Approval of Agenda-Motion 5.14.09.1 by Iva seconded by Al to approve agenda with additions. Carried.
Approval of 4/9/09 Minutes- Motion 5.14.09.2. By Al seconded by Wayne. Carried.
Correspondence- Katie Burnham has requested use of the Fitch building for Blair Float -943-3988
Presidents Report- Brent reported that concrete was put in the well house by the arena, The bathrooms are being worked on, the camp hosts are returning 5/20/09, he is working with Greg on our insurance and it is a mess. Brent reported on an email he received from EJ Brown on the state cut of premium dollars.
Treasurer’s report- Iva reported she has purchased a sign for the front entrance (4X8). Motion 5.14.09.3 by Dan, seconded by Alto approve $110.00 sign cost. Carried.
Iva reported that she has two estimates for museum roof. Shingles $5280.00, Steel $6345.00. Discussion. Brent will check some bids. Iva requested use of the Tanner building on 6/20/09 for her granddaughter’s graduation. Motion 5.14.09.4 by Karen second by Bobe to allow Iva to use Tanner building. Carried. Iva reported that she received a check for $150.00 from Maggie Schoultus, for the golf cart damage to the new beef barn. Bobe requested that you talk to Iva or Bobe regarding Renee issues. Renee’s hours are1:30p-4p. Bobe requested that people do not come and “hang out and chat” as Renee needs to get her work done.
New Business-
A. Iva Lewis reported that she talked to Cinda Karlik. Iva reported that she does not think market should get premium. Iva reported the majority of fairs are just going to give out ribbons. Discussion on premiums. Motion 5.14.09.5 by Iva second by Bobe to have no premiums. 4 Yes 9 No. Motion defeated. Discussion. Julia Deemer would like 1st and 2nd. Motion by Barb that we pay first and second. Motion rescinded. Barb presented last years figures. We took in on registrations $5506.00 and stall fees $4830.00. The State reimbursed $4359.83. Total Premium payout was $5737.00. Motion 5.14.09.6 by Bobe, second by Wayne to only pay first place premiums, no sweepstakes. Carried.
We will have to post corrections on office door and on the website.
B. Dana Cederquist reported Monomer’s’ will be donating the ice cream for the Veteran’s Memorial.
Dana presented bid from The Sound System for $7419.83, to compare with Data Com $13,500.99. Discussion. Tom Robinson said the Data Com bid includes trenching and electrical but it is not on the paper. Dana stated that he took Data COM’s bid whited out the prices. Discussion. Dana will get with Tom to get an accurate bid from Data Com. Tom reported that he will have Wally redo the bid. Tabled this item.
C. Milt Lewis reported that the 5year snowmobile contract is up. Motion 5.14.09.7 By Karen seconded by Alto renew contract with snowmobile for 5 years. Carried.
D. Al Henning- Al would like to apply for a raffle license to raise money for poultry cages ( approximately 6 meat and 1 turkey). Motion 5.14.09.8 by Gordie seconded by Wayne to have Al obtain a raffle license, and to be the person responsible for the raffle. Carried.
4-H Livestock
A. Rudy Neumann expressed the livestock council’s thanks to those who helped with clean-up, and clinic. He reported that their were 350 people at the clinic, some from Emmet and Manistee. Brent thanked the 4-Her’s for the work the put in on the grounds.
Old Business
A. Brent reported that there have been 2 meetings with the Cherry Festival. They would like to rent the whole grounds for a 20 day period, including the campground. On the days of concerts no one is welcome. Suggested $6000.00 with yearly upgrade. Cherry Festival will pay utilities. They use no discretion on where they put their fencing in and some concern was expressed that they will put in asphalt. Cherry Festival will offer links to fair. They would like this for 5 years but there is an escape clause. The fairs name will be in all Cherry Festival advertising. Fair potentially will have a booth at Open Space. Gordie reported that Cherry Festival charges $5000.00 to $ $ 5500.00 for 20 feet but that the want the entire fair grounds for $5000.00. Suggestion of the board that the committee have a meeting and to have a plan to present to Rick. Meeting scheduled for 5/18/09 at 6:30p
Committee Reports
Advertising- Sat. Barn Dance, Sun Pancake breakfast and Horse Pulling, Mon. , Tues Union Guns and over the Top Wrestling, Wed. Logging sponsored by Lake Ann Towing, Thurs. Off Rd Derby sponsored by Nickerson’s, Fri. Demo sponsored by Advantage Electric, Sat. Tough Trucks sponsored by Molon’s. Taste The Local Difference is renting the old flower barn. Old Engine Show and the Fair will have signs co-sponsoring each other. Bobe introduced Where’s Babs? Denise Ferenbach’s llama will go places. The Babs llama will make visits and those people will have their pictures taken with Babs and put on the web site. There will be a contest during fair to see who can find Babs first each day and people will win $20.00. For kid’s day we are looking for clowns.
Buildings and Grounds- Brent reported that we need to fix the small show arena or tear it down. It needs 33 16 ft boards for approximately $200.00. Motion 5.14.09.9 by Barb, seconded by Karen to purchased needed boards. Carried. Cindy Melving reported that she will try to get three-5 gallons buckets of white and three five gallon buckets of Brilliant Red.
Daryl reported that irrigation can be installed thru the food court, and run in waves. Brent will do more homework.
Tom Robinson reported that we have the lights from GT Resort- his apprentice is currently laid off and could put up the lights at no charge to the fair. Tom questioned if we want lights in the campground. Discussion on the need for better lighting by the campground gate.
Brent Gene is starting to paint the bathroom floor. Sedlacek’s will becoming next week.
Iva reported that we have all old speakers in the back hallway and she would like to have them thrown away. Motion 5.14.09.10 by Bobe, seconded by Al to destroy old sound equipment. Carried.
Campground- Brent is developing a list of expanded duties for Kay and Henry including mowing and weed whipping.
Finances- We have $1800.00 in cookbook sales. Ken and Kay Berry donated $300.00 for the Case memorial.

Queens- Rain out for Kalkaska trout festival, went to Mesick Mushroom Festival
Superintendents- Al presented judges contract. A blanket motion 5.14.09.11 by Karen seconded by Barb to approve judges contracts. Carried.
Tickets- Iva reported she met with bus drivers, counted everything, will have a pre-sale window at the front gate, also ticket sales on the web.
Passes- Karen reported that all will get wristbands this year. Vendors will be getting wrist bands also.
Web- Bobe requested that the head of each fundraiser present and idea of how much money we are trying to raise for each project.
Bathrooms- Brent commented that if we cannot do this in one shot the to not just put up a shell as the codes change, permits expire. Tom Robinson wants a letter sent to those who have donated offering money back. Discussion. Rudy Neumann expressed that people need to be more positive not always negative. Milt stated the one contractors offer is only good for this year.
