Michigan Fair Board Minutes – 04/09/2009
Call to Order: Al Henning 7:00
Pledge of Allegiance: Karen Zenner led pledge
Role Call: Barb Walker
Board members Present-Al Henning, Karen Zenner, Iva Lewis, Barb Walker, Mary Dennis, Sharon Case, Sarah Sullivan, Dana Cederquist, Wayne Strang, Gordie Wilder, Bobe McPherson
Board members Excused- Brent Edgecomb, Dan Hubbell, Pam Leach, Daryl Case
Approval of Agenda; 4.9.09.1 Motion by Barb Second by Dana. Carried
Approval of Minutes; Barb Haberlien Fund had only $750.00 not $4759.85 per April Treasurer report. All other money was transferred to beef barn account. Corrections typo under treasurer “letter from Kelly”. 4.9.09.2 Motion by Sharon second by Wayne to approve minutes. Carried.
Correspondence; None
New Business; None
4-H/ Livestock; Darrel Robinson reported clinic (showmanship, health) on 5/9. Rudy questioned availability of folding tables. First Clean-up is 4/13/09. Barb noted no restrooms due to remodel. Rudy agreed to call Madeline and order 4 port-a potties.
Committee Reports:
Advertising- Bobe reported 7/4 contest.
Bingo- Bobe reported that moving bingo to area of uneven ground problematic to elderly who frequent bingo tent
Buildings & Grounds- Al proposal from data Com for Grandstand Sound $13,350.00 3yr warranty. Dana will obtain a second bid.
Gene and Renee will start 5/4/09
Campground- Iva suggested building shell to get donations to finish. Discussion. Tom Robinson is to crunch costs for shell to present at next meeting.
Entertainment- Wayne Tues is open. Logging rain out clause- if fair provides 24 hours notice of cancellation only ½ of fee will be paid. 4.9.09.3 Motion by Barb seconded by Bobe to sign with logger. Carried. Wayne reported on moto-cross with bulls out of Fla. Dana reported our insurance prohibits moto-cross. Discussion. Bobe stated that have to make money at beginning of week like Lipazans. Bobe every day should be a money maker, cannot have events that do not make money. Discussion on Sunday events. Grand Stand Capacity was reported by Barb as 1450.
Labor- Iva reported that she met with Rene. Di
Discussion on golf carts- Karen $25.00 only 6-8 a.m. and 6-8p.m.. Gordie questioned potentially using shuttles. Daryl and Rudy no carts after night feeding usually 6-8p.m.
Premium Book- Bobe reported going to print tomorrow
Queens- Sarah reported that Leslie and Sarah set up parades. Iva reported that at the last meeting Brent stated that Sarah was in charge of queens. Discussion. Stephanie reported queens are handled.
Rentals- Barb reviewed changes to pricing sheet. 4.9.09.4 Motion by Karen second by Bobe to accept new proposed pricing sheet. Carried
Discussion on tents, tables and chair rental. Barb will order 6 20X20 tents (3 food court, 1 information, 1 front entrance and 1 differently disabled) 1 40X60 bingo, 1 40X60 lama, 600 chairs, 160 tables from G&J Rentals.
Mary reported some boats are out and that she will be here 11-2p this Sat and next Sat.
She is looking for volunteers/s to help. Milt volunteered. Boats need to be out by 4/18/09.
Superintendents- Al stated that the Assistant Poultry superintendent was asking for
$600.00 for new poultry cages that were discussed last year. Board requested cage pricing info. Rudy reported that swine are not terminal this year.
Tickets- Karen stated that she is considering arm bands for helper passes. Discussion.
Web- Milt reported that all forms are on the web. Just click and print. The fair is accepting credit cards on the web. Cookbooks are here selling and have more on order.
Volunteers- Sarah Sullivan is chair of volunteers. Karen stated that she and Renee will help. Per Karen Renee will have hours at the volunteer tent.
